Published February 5, 2026

How to effectively and in real time connect communication with the three key links of your operation? How to save not only time but also money related to internal company management? And how to achieve an ecological impact and save not hundreds but thousands of papers? These were exactly the challenges faced by HENIG, a security services company. Again, Tabidoo became a game-changer that not only simplified and streamlined processes across the company.

How Tabidoo helped HENIG digitalize its operations and create the basis for its own ERP system

Tabidoo got us excited. Thanks to their team, we were able to train all employees and start the transformation of the company. We are building our own ERP system, tailored exactly to our needs.

About the client

HENIG – security servis is a family-owned company with more than 30 years of history in the security services industry. Since its establishment in 1990, it has undergone significant development – from providing physical security to installing security systems and round-the-clock monitoring of facilities. Today, it provides security to clients in industry, government and the private sector. The heart of the business is the Guardian Angel project, which provides emergency care to the elderly and medically disadvantaged across the country.

The Challenge

HENIG was looking for a way to efficiently connect real-time communications between three key links in its operation:

  • the facilities guarded by physical security,
  • the clients who want to keep track of what is happening at these facilities,
  • the operations managers who provide oversight, coordination and reporting.

The existing solution was based on paper ledgers and telephone arrangements, which led to delays in information exchange, communication burdens and higher operational costs. The aim was to find a simple, adaptable and secure solution that:

  • allow instant sharing of information from the facility,
  • provide transparent reporting for clients,
  • simplify remote monitoring for managers,
  • will not require installation and complex administration,
  • and can be customized without the need for external programmers.

Why they chose Tabidoo

After evaluating the “off-the-shelf” tools available on the market, HENIG decided to go the route of a flexible solution that would adapt to their specific needs. Tabidoo was recommended by an external consultant and the company especially appreciated:

  • modularity and ease of customisation without programming,
  • online access from anywhere without installation,
  • high user-friendliness,
  • emphasis on data security.

Implementing the solution

The first step was to implement an electronic gateway – a tool that allows workers on the premises to record what is happening in real time and share it with managers and clients. And the system is gradually being extended to include other processes such as:

  • object controls,
  • internal business agendas,
  • personnel records,
  • customer portal.

The company trained all users through online training, minimizing the burden and speeding up the adaptation. The first deployment took place in December 2024, and by mid-2025 the solution will be implemented on all objects in various client modifications.

Results and benefits

Thanks to Tabidoo, HENIG has succeeded in meeting its main goal of creating a functional digital ecosystem in which the different roles communicate effectively.

  • Managers have instant access to information without the need to be physically present.
  • Clients get an overview of what is happening without lengthy transcription or phone calls.

Key Benefits:

  • Instant and transparent information exchange between facility, client and management.
  • Simplify and streamline processes across the business.
  • The basis for a future ERP system that connects all parts of the company. Tabidoo

Other significant benefits.

  • Ecological impact – over 12,960 sheets of A4 saved annually, equivalent to approximately 65 kg of paper that would otherwise have ended up as waste.
  • Saving time on reporting and communication – although not precisely measurable, it has changed the way we work and increased the operational efficiency of the whole company.

Next steps and outlook

Collaboration with Tabidoo is gradually moving beyond individual processes. HENIG aims to create its own ERP system that will connect:

  • sales,
  • operations,
  • HR,
  • client communication,
  • and
reporting – all in one place, without the need for complex integrations.

At the Spejbl and Hurvínek Theatre, the action doesn’t stop at the stage. Behind the scenes, there are contracts, orders, budgets and approvals to manage. Tabidoo brought these processes together in one place, cut approval times from days to minutes or hours, and saved dozens of hours of admin work. Because the less time paperwork takes, the more time there is for theatre.

For nearly ten years, Z-AGENCY ran on Google Sheets. Sales, HR, and inventory. It worked. Until the company grew to the point where spreadsheets started slowing things down instead of helping. Today, Z-AGENCY manages nearly 5,000 business cases in Tabidoo, coordinates more than 60 external collaborators, runs inventory for hundreds of events a year – and uses the same data for automation and AI.

What once required dozens of emails, multiple Excel spreadsheets, and piles of paperwork is now handled by a single digital process. The result? Better visibility for employees, faster processing for the accounting team, and simpler oversight for management.
